DESCRIPTION
The EarlySteps Intake Coordinator is the liaison for the family throughout the intake process, which includes eligibility determination and the development of the Individualized Family Service Plan (IFSP). The role is fast-paced and requires constant coordination of appointments with referral families, doctors, evaluators, referral sources, and providers. Our ideal candidate is well organized and comfortable engaging in written communication, calendar management, scheduling of appointments, virtual appointments, in-person appointments, and data entry with a heavy focus on accurate file management and timelines.
This position will carry an average of 40 – 45 cases per month, requires traveling throughout the region for in-person meetings, and perform all procedures per approved policies and the best professional practices.
EXPERIENCE & EDUCATION REQUIREMENTS

First Steps is seeking another member for our office team! We are hiring a Records & Support Assistant. The Records & Support Assistant supports the First Steps team, including the Executive Director, Assistant Director, Data Specialists, and Intake Coordinators. The ideal candidate has experience in Early Childhood Education, an interest in Early Childhood Intervention Services, and is a quick learner eager to join a new team committed to serving children and families. This person will answer incoming calls in the office, so we seek someone who exudes warmth and consideration when speaking with others. Attention to detail is a must and an astute understanding of the computer is absolutely necessary. We need a team player willing to complete the necessary tasks to get the job done.
This position works in our New Iberia office which is open Monday – Friday, 8:00 AM – 4:30 PM, and closes for a lunch hour at noon.
Below is a sample of daily tasks for the position:
- Answer, screen, and forward incoming phone calls for Regions IV and V.
- Receive referrals via phone calls from referral sources.
- Perform clerical functions for approximately 1400 hard copy records.
- Data entry and management of the First Steps Database
- Ensure all hard copy records are current for Regions IV and V.
- Provide collaborative support to the Data Specialists and Referral Coordinator in managing and terminating records.
- Box, label, and prepare files for off-site storage.
- Provide records as requested from Social Security Administration, Depart of Child and Family Services, Parents, and Legal Entities in compliance with the EarlySteps Practice Manual, DHH SPOE Contract Deliverables, and HIPAA.
- Retrieve necessary records and reports from the records room and electronic filing system.
- Schedule appointments with families using an electronic booking system.
- Manage calendars for Intake Coordinators.
- Generate documents for members of the team.
